What to Consider When Organising a Team-Building Event?
In today’s digital workplace, honest and close connections are harder to build. Since the pandemic, both employer and employee expectations around in-person time have shifted. Even in hybrid setups, leaders and HR professionals often have far less insight into their teams than before. That makes it tricky to pick a program that will truly make a difference. But there’s good news — you can plan for success.
I’m Gergő Bárány, Head of Events at [eureka], and I’ve been designing and running team events for over 15 years. Here’s how to make sure your next team-building is more than just a day out — it’s a real step forward for your team.
A Good Team-Building Event Is the Gateway to Team Development
The appetite for team-building is growing — from employees and leaders alike. But a successful event is more than a nice dinner or a fun activity. The challenge is to choose something that fits your team’s needs and goals.
Do You Know What You're Looking For?
Before you dive into browsing ideas, take time to answer these five questions:
What are your constraints?
Budget matters, but time often matters more. The plan will look very different if you have two hours compared to half a day. Group size is another factor — some activities are perfect for 15–20 people, others shine with larger groups. What’s your goal?
Stress relief? Better communication? Stronger relationships? Or simply a shared memory? Clarity here makes it easier to pick the right format.Any non-negotiables?
Is there only one date that works? Do you need a foreign-language option? Sometimes an English-language event is requested because of one or two colleagues — but is everyone comfortable in that language? Also check if there are must-have program elements from leadership, or a fixed venue that can’t be changed.Do you need an external provider?
If you’ve never organised a company-wide team-building before, don’t be afraid to bring in experts. A professional facilitator can help you define needs, handle last-minute changes, and keep the event on track — so you can enjoy it too. What do you know about your team?
Are they outdoorsy or indoorsy? More into high-energy activities or creative challenges? Do they share common interests? The answers will shape your shortlist.
If Things Don’t Go as Planned…
No clear price in the proposal?
That’s a red flag. You might have received a generic package instead of one tailored to your team.Extras you didn’t ask for?
Treat them as optional — and clarify them before you sign off.Inaccurate information?
If headcount or requirements change, update your provider immediately and request a revised plan.
Less Can Be More
Sometimes the venue itself offers experiences that could be part of the day — a wellness area, wine tasting, or adventure park. Make sure the program leaves time to enjoy these, otherwise people may feel rushed or miss out.
The Takeaway
A well-designed team-building event can be a launchpad for better teamwork, trust, and collaboration — if it’s planned with purpose. Start with the right questions, stay flexible, and make choices that fit your team’s reality. That’s how you turn “just another offsite” into something that people talk about long after it’s over.
Let’s explore together what could spark new energy in your team.
