At [eureka], we turn work into play — but we take our collaborations seriously. These Terms & Conditions (“Terms”) describe how we usually operate when delivering team-building events, gamified learning experiences, leadership workshops, and tailored programs — both live and online.

They’re not a binding contract on their own (unless included in one), but they’re here to make sure we’re on the same page from the start.

At [eureka], we turn work into play — but we take our collaborations seriously. These Terms & Conditions (“Terms”) describe how we usually operate when delivering team-building events, gamified learning experiences, leadership workshops, and tailored programs — both live and online.

They’re not a binding contract on their own (unless included in one), but they’re here to make sure we’re on the same page from the start.

1. How We Work


We deliver impactful, gamified experiences for teams — from playful team-building games to in-depth soft-skills workshops.

We work with companies of all sizes, across borders, and in many formats:

  • On-site live events (half-day to multi-day)

  • Remote/online sessions (Zoom, Teams, etc.)

  • Pre-built games from our catalog

  • Fully customized programs (strategy offsites, L&D programs, onboarding journeys, etc.)

We start with a conversation, design with you, and deliver with energy.

1. How We Work


We deliver impactful, gamified experiences for teams — from playful team-building games to in-depth soft-skills workshops.

We work with companies of all sizes, across borders, and in many formats:

  • On-site live events (half-day to multi-day)

  • Remote/online sessions (Zoom, Teams, etc.)

  • Pre-built games from our catalog

  • Fully customized programs (strategy offsites, L&D programs, onboarding journeys, etc.)

We start with a conversation, design with you, and deliver with energy.

2. Booking Something Awesome

Here’s how we typically handle bookings:

Step 1: Let’s Talk

You reach out by email, phone, LinkedIn, or our website. We ask questions. You tell us what you’re looking for.

Step 2: We Propose

We send you a written offer (quote or proposal) with a suggested program, fee, and scope.

Step 3: You Say Yes

You confirm in writing (email is fine) that you want to go ahead.

Step 4: Paperwork

We send a simple service agreement. You sign it. We may ask for a 50% deposit to secure the date.

Step 5: Planning

We prepare the event with you — logistics, content, participants. We’re hands-on and flexible.

Step 6: Game time

We deliver the program on the agreed date. The rest is the so-called Eureka Effect.

⚠️ Note: Your date is only locked once the agreement is signed (and deposit paid, if requested).

2. Booking Something Awesome

We send a simple service agreement. You sign it. We may ask for a 50% deposit to secure the date.

We prepare the event with you — logistics, content, participants. We’re hands-on and flexible.

Step 6: Game time

We deliver the program on the agreed date. The rest is the so-called Eureka Effect.

3. If Things Change


We’re flexible, but we also prepare deeply — so cancellations and last-minute changes come with conditions.

We know plans change. If you cancel 30+ days in advance, your deposit is fully refunded — no hard feelings.

Within 15 days, we’ll do our best to reschedule instead of charging — but availability can’t be guaranteed.. But cancellations within 5 business days mean we’ve likely already locked in staff and setup — so the full fee applies.

If You Cancel or Postpone:

If Participant Numbers Change:

Let us know early.

  • More people? Great! We’ll adjust the price if needed.

  • Fewer people? You still pay for the originally booked number (unless otherwise agreed).

Bringing significantly more people than agreed without notice is at your own risk — we may not be able to accommodate everyone.

Each program has a maximum participant limit, clearly stated in our catalogue or offer. If your group exceeds the max number, we’ll either:

  • suggest a more suitable format

  • or split the group into multiple sessions, scheduled separately.

If your group drops below the minimum, we’ll always:

  • let you know in advance that this might be an issue

  • do everything we can to still deliver a meaningful, valuable experience

But in rare cases, certain programs simply don’t work below a critical size — just like you wouldn’t play a football match with 5 players. If this happens, we may not be able to run the activity as planned.That’s a risk we ask you to bear. We’ll always communicate this clearly, and we’re happy to suggest alternatives where possible.

If We Need to Cancel:

Very rare. But if something truly unavoidable happens (force majeure, illness, etc.), we’ll:

  • Inform you immediately

  • Try to reschedule

  • Refund any prepaid fees if we cannot deliver

If an event must be interrupted or stopped due to disruptive or unsafe behavior from participants, we reserve the right to cancel on-site — and the full fee still applies.

If You’re Running Late:

We understand that things can shift — but timing matters.

If the start of the program is delayed by more than 30 minutes due to issues on your side (like the room not being ready or the team not arriving), we may add a surcharge to cover extra staff time and coordination effort.

If the delay exceeds 45 minutes, we reserve the right to cancel the session on-site and still charge the full program fee.

We’ll always do our best to make it work — but please know that we sometimes have back-to-back events, and we can’t always extend or reschedule on the spot without affecting other teams. If there’s a delay, let’s talk early and find the best solution together.

4. What You’ll Take Care Of


As the client, you’re our co-creator. To make the program smooth, we rely on you for a few key things:

Clear Information

Tell us what we need to know — participant numbers, goals, names (if relevant), accessibility needs, or anything else that helps us prepare the best-fit experience.

Venue & Tech Requirements

For live events, we offer a list of recommended venues and outline minimum technical and spatial needs (floor area, AV setup, preparation time).

We can host programs at partner venues or at locations provided by the client. A small logistics fee (EUR 50–500) may apply depending on location.

For online programs, most conferencing platforms (Zoom, Teams, Webex, Meet or Eureka Platform) are supported. However, not every game is suitable for every platform — we’ll confirm technical needs during booking.

Point of Contact

Assign someone from your team to be the liaison. This person helps coordinate details and keeps everyone in sync.

Participant Readiness

Please help your team arrive ready to engage. We’ll make sure the experience is fun, safe, and welcoming — and we count on you to pass that energy on.

Encourage participants to show up on time, bring an open mind, and treat each other (and our facilitators) with respect. We believe in playfulness with purpose — which works best when everyone is fully present.

Approvals

If your company needs internal OKs (legal, finance, branding), please handle those before the event. We’re happy to assist with what you need for approval.

4. What You’ll Take Care Of


As the client, you’re our co-creator. To make the program smooth, we rely on you for a few key things:

Our trained facilitators (internal or licensed collaborators) run the event professionally — keeping it structured, safe, and human.

✔️ Support

Before and after the program, we’re available for questions, alignment, and feedback calls. We’re your partner, not just a vendor.

5. What We Take Care Of

You bring the team. We bring the experience.

Here’s what we handle:

We design the game or workshop, set up the platform or guide the physical space, brief the facilitators, and make sure the content fits your goals.

✔️ Delivery

Our trained facilitators (internal or licensed collaborators) run the event professionally — keeping it structured, safe, and human.

✔️ Support

Before and after the program, we’re available for questions, alignment, and feedback calls. We’re your partner, not just a vendor.

6. Safety, Respect & Fairness


We believe in psychological safety, inclusion, and respect — always.

No Harassment, No Disruption

If a participant acts inappropriately (e.g. harassment, aggression, intoxication), we may remove them — or stop the event if the environment becomes unsafe. This has never happened before, but we reserve the right to protect the group.

Respect for All

We foster an inclusive space. Competition is fun, but not at the expense of dignity. We expect all participants to engage respectfully — with each other and with us.

Risk & Venue

You’re responsible for the venue being safe and suitable. We’ll advise on layout if needed. We design low-risk programs, but if someone has a health condition or accessibility need, please let us know in advance so we can adapt.

6. Safety, Respect & Fairness

Risk & Venue

You’re responsible for the venue being safe and suitable. We’ll advise on layout if needed. We design low-risk programs, but if someone has a health condition or accessibility need, please let us know in advance so we can adapt.

7. Fees & Payment


We keep pricing simple and transparent. You’ll always get a clear quote before committing.

 Fee Structure

  • Prices are quoted net, VAT will be added where required..

  • For international clients:

    • Outside the EU? → No VAT.

    • Inside the EU with a valid VAT ID? → Reverse charge applies.

Travel or accommodation costs (for on-site events) are either included or agreed separately.

Payment Terms

  • Usually: 50% deposit to confirm booking

  • Remaining 50% after the event, payable within 15 days of invoice

  • For small events, we may invoice 100% after the program — we’ll clarify this upfront.

We issue all invoices digitally via the Billingo invoicing platform.

Payments can be made by bank transfer or by online credit card via OTP SimplePay.If you choose the card option, please note that a 5% transaction fee is added to cover processing costs.

Late Payment

We keep our invoices clean, simple, and fair. You’ll always have at least 15 days to pay. But if payment is significantly delayed, we reserve the right to apply a statutory late fee, in line with the applicable law.

(We’d still rather solve things with a friendly nudge than with legal jargon.)

You’re welcome to use them during the program. But you may not reuse, copy, distribute, or remix them afterward, unless we agree in writing.

Photos & Recordings

Recording our sessions (especially of gameplay or solutions) is not allowed unless we give written permission. Feel free to capture the vibe — but don’t publish puzzles, codewords, or proprietary content.

Custom Programs

If we design something tailor-made for you, we retain IP rights to the content. You can use it internally, but not commercially or externally without a license.

We put a lot of love into our games, tools, and content — and we protect them.

We protect what you share with us — and expect the same in return.

What We Keep Private

Any non-public info you give us (about your team, culture, internal goals) stays with us. We won’t disclose it without your permission. We’re happy to sign an NDA if needed.

If we show you internal methods or give you backstage access to game mechanics, you agree not to share them beyond your team.

Participant Data

If we collect any personal data (e.g. names for workshop prep or survey responses), we handle it per GDPR and our Privacy Policy. Most feedback is anonymized.

9. Confidentiality


We protect what you share with us — and expect the same in return.

We may ask to list your company name or logo on our website or slides — as a reference client. It’s just to show who we’ve worked with, never as an endorsement. 

Testimonials

If you give us a quote or testimonial, we’ll always ask before publishing it with your name or title.

No Surprises

If you don’t want us to display your logo or mention your name publicly, just let us know. We’ll remove it immediately — no questions asked.

We’ll always ask for your permission before displaying your logo or naming your company in public-facing materials. If you change your mind, we’ll remove it immediately.

10. Using Your Name or Logo


We love showing who we work with — but we do it respectfully.

With Your Consent…

We may ask to list your company name or logo on our website or slides — as a reference client. It’s just to show who we’ve worked with, never as an endorsement. 

Testimonials

If you give us a quote or testimonial, we’ll always ask before publishing it with your name or title.

If you don’t want us to display your logo or mention your name publicly, just let us know. We’ll remove it immediately — no questions asked.

We’ll always ask for your permission before displaying your logo or naming your company in public-facing materials. If you change your mind, we’ll remove it immediately.

11. If Something Goes Wrong


We always aim to deliver 100%. But in case things get bumpy, here’s how we handle it.

Our Responsibility

If something goes wrong because of us, we’ll take responsibility — reasonably and fairly.

That means:

  • If we mess up and it’s provable, we’ll make it right.

  • If we miss a delivery (and not because of force majeure or your team), we’ll offer compensation or refund.

  • Our maximum liability is limited to the fee you paid for the specific service in question.

Sometimes the world changes the rules — literally.

If new regulations or government measures make it legally impossible to deliver the program (e.g. health restrictions, public bans), the event will be considered cancelled due to force majeure.


In that case, we won’t charge any cancellation fees, and we’ll work with you to either refund, postpone, or redesign the experience.

We are not liable for indirect or consequential losses (e.g. lost revenue, reputational harm, third-party issues). Also, we’re not responsible for things outside our control — like if your team didn’t show up prepared, or tech fails on your end.

You Also Cover Your Side

You agree to hold us harmless if a third party makes a claim because of something on your end (e.g. a participant causes harm, or you give us content that infringes copyright).

We both commit to acting in good faith, and to communicate directly if any problem arises.

11. If Something Goes Wrong


We always aim to deliver 100%. But in case things get bumpy, here’s how we handle it.

That means:

  • Just as we won’t speak negatively about your team or company in any public forum, we trust that you’ll extend the same professional courtesy to us.

This non-disparagement clause protects both our reputations. It doesn’t stop you from leaving honest reviews or giving feedback — just from being malicious or unfairly damaging.

12. Mutual Respect After the Event


We care about long-term relationships — and about how we treat each other, even after the program ends.

  • If something didn’t land right, please reach out directly. We welcome honest, constructive feedback and we’re committed to resolving any concerns in good faith.

  • Just as we won’t speak negatively about your team or company in any public forum, we trust that you’ll extend the same professional courtesy to us.

13. Legal Ground Rules

Governing Law

All our services and agreements are governed by Hungarian law.

Jurisdiction

Any disputes will be resolved by the Metropolitan Court of Budapest (Fővárosi Törvényszék).
Before that, though — let’s talk. We prefer resolution by conversation, not confrontation.
